Overview

Under direction of the Senior Vice President, Planning & Measurement and in collaboration with the full Planning & Measurement team, the Planning & Measurement Coordinator manages the execution business operations for the Planning & Measurement team, leads the development of the Planning & Measurement presence on BGCA.net and MyBGCA.com and coordinates all Planning & Measurement communications and training for BGCA staff and Clubs. The Planning & Measurement Coordinator will provide support and back-up for data validation, analysis, and reporting in times of high volume and on an as needed basis. The Coordinator assists with all aspects of operations for the department

Responsibilities

Communications

  • Implements the Planning & Measurement (P&M) communication strategies.
  • Leads the development of P&M’s presence on BGCA.net and MyBGCA.com.
  • Manages webinar trainings including schedules, resources and logistics.
  • Assists in writing projects as assigned.

Business and Financial Operations

  • Serve in a project management role for efforts that affect the entire department as assigned.
  • Supports enterprise-wide project management systems and processes.
  • Monitors departmental budget and expenditures and reports on same to Senior Vice President.
  • Acts as liaison with Financial Services to facilitate tracking and reconciliation of department expenses.
  • Monitors status of departmental projects and reports on same to Senior Vice President.
  • Creates and revises written business processes and trains the department on same.
  • Manages and routes invoices, check requests and contractual documents.
  • Coordinates meeting logistics for departmental meetings and other meetings led by the department as assigned. 

Customer Support

  • Provides accurate and timely response to all of our customers.
  • Answers calls, makes calls, writes and sends communications to various audiences.

 

Data Management

  • Reviews and validates the information submitted by local Boys & Girls Clubs.
  • Resolves issues experienced by local organizations during data collection and validation.
  • Prepares data extracts and custom reports to meet data requests as needed.

 

Other

  • Provides administrative support to the Senior Vice President, Planning & Measurement.   
  • Performs special projects or assignments as assigned by the Senior Vice President, Planning & Measurement.
  • Exercises tact and confidentiality in gathering information; being alert to concerns and escalation of issues as warranted.
  • Performs other duties as assigned by the Senior Vice President, Planning & Measurement.

SUPERVISION EXERCISED
No direct Reports. May monitor and coordinate the work of temporary employees and student interns

Qualifications

Education and experience

  • Bachelor’s degree in business administration or related field required. 
  • Minimum of five years experience with data and customer service.
  • Advanced proficiency in Microsoft Office suite, particularly Microsoft Excel; superior ability to manipulate and analyze data.
  • Excellent organizational skills; exceptionally detail oriented; superior customer-service skills; project management; logistical coordination. Excellent verbal and written communication skills; a self-starter with the ability to prioritize multiple tasks; and ability to work independently.  Ability to assess, analyze and evaluate situations, systems and procedures.  Ability to build strong working relationships.  Superior interpersonal abilities; tactful, flexible; excellent listening, thinking, and reasoning skills.

  • Ability to interact with coworkers and public by telephone and in person as a member of a team to provide services to customers, both external and internal; ability to perform a variety of duties and to prioritize tasks to meet organizational needs. Ability to clearly and concisely exchange ideas, facts and/or technical information and guidance in person, by telephone, email, fax or correspondence. Physical requirements include: sight, hearing, sitting for four + hours a day, standing for one to two + hours a day, stooping; skills essential for successful communications include speaking, writing and reading comprehension.
