Under the direct supervision of the Senior Accounting Manager, the Accounting Assistant’s primary responsibilities will be recording, analyzing, reconciling and reporting accounting transactions in accordance with Generally Accepted Accounting Principles, and distribution of signed checks and maintaining an accurate filing system.


  • Review and analyze accounting records for accuracy of accounting codes, and recording transactions appropriately
  • Review and reconcile Accounts Receivable and Accounts Payable ledger accounts and prepare correcting journal entries as necessary
  • Review accounting codes and approve transactions in spend management system (Coupa) to provide reliable financial information
  • File processed documents and retrieve files when needed
  • Create and maintain computer vendor records in the accounting system (Serenic) and Coupa to ensure correct and current information available.
  • Ensure accurate and prompt input of invoices.  Generate reports for review.  Make data entry corrections as necessary.
  • Provide departmental phone coverage as needed.
  • Perform special projects or assignments as required by the Supervisor.

High School diploma or equivalency; completed courses in accounting preferred.



Minimum of two years’ experience in data entry in a computerized accounting system.



10 key data entry (8,000 to 10,000 keystrokes per minute with a 1% or less error

rate); 40-50 wpm typing speed; demonstrated high standards of ethics and

integrity; ability to alphabetize accurately; basic knowledge of Microsoft

Word and Excel; and use of accounting software. Strong attention to detail, concern for accuracy and effectiveness, and ability to handle confidential information. Strong interpersonal skills are essential.


Environmental and Working Conditions:

Normal internal office environment.


Physical and Mental Requirements:

Ability to exchange, clearly and concisely: ideas, facts, and/or technical information and guidance, in person, by telephone, fax or correspondence. Ability to apply problem solving and analytical skills to perform required responsibilities. Physical requirements include: sight, sitting for four plus hours a day; skills for successful communications including speaking and writing.
