Under the supervision and direction of the Director, Business & Facilities Operations , this position serves as the initial BGCA National Staff facility contact and is responsible for conveying a positive and professional image in meeting and greeting visitors, job applicants, and vendors, answering and routing telephone calls, providing general information, adopting security measures for the building and parking, conference room scheduling, invoicing and catering and other administrative duties as assigned.   


  • Answer telephones and direct calls. Accurately transcribe and deliver messages. Efficiently handle transfer lines to answering service and reconnection at each morning, evening and weekends, as appropriate.
  • Greet and assist visitors and guests. Keep lobby and reception area neat and orderly.  Receive and transmit deliveries from courier services.  Monitor front and rear entrances for deliveries.
  • Be cognizant of security issues for building and parking locations. Report incidents of concern to appropriate individuals.
  • Respond to inquiries, by telephone and walk-ins, regarding employment opportunities and forward applications to HR Management.
  • Review purchase orders and prepare invoices.
  • Assist in preparation of general mailings when needed, including collating information and typing. Maintain telephone list of employees.  Perform general office duties as assigned to assist BFO and other departments in the completion of projects.
  • Performs special projects or assignments as required by Director, Business & Facilities Operations and the Senior Vice President, General Counsel.

SUPERVISION EXERCISED    No direct reports. May monitor and coordinate the work of temporary employees and student interns.


education and experience

  • Associate’s degree or education/experience equivalency preferred.
  • Minimum of one year experience as a receptionist in a multi-level organization.
  • Displays ability to project positive customer relations skills with all contacts; takes initiative to satisfy internal and external requests by clarifying needs and taking action; follows through and delivers services within agreed-upon time frames; establishes and maintains ongoing communication with all individuals. Demonstrated high standards of ethics and integrity.  Ability to focus on BGCA needs and present interactions that best serve the organization and its culture.  Ability to operate multi-line telephone equipment.  Ability to review purchase orders and invoices. Good computer skills with familiarity in Microsoft Word, Excel, PowerPoint and Internet usage.


Physical requirements include: sight, hearing, sitting for extended periods of time grasping with one hand and the ability to utilize manual dexterity skills in use of telephone; skills essential for successful communications include speaking, writing, and computer skills.  Ability to exchange, clearly and concisely: ideas, facts, and/or instructional information and guidance, in person and by telephone. Displays cognitive ability to prioritize tasks and handle multiple job requests.
