Under the supervision of the Business Operations & Technology Administrator, the Business Facilities Assistant performs general operations duties including, but not limited to, conference room coordination, Conference support, purchasing supplies, mail handling, reception area, meeting arrangements, shipping & receiving, some warehouse duties and following established policies and procedures


Essential Functions

  • Coordinate conference room set ups, break downs and clean ups as needed. 
  • Assist with internal staffing moves. 
  • Travel to BGCA conferences to assist with all shipping and receiving needs for the conference and other support as needed. 
  • Maintain and operate the various shipping systems in the mailroom, distribution center, shipping & receiving and other areas of Business & Facility Operations department.
  • Sort and distribute mail to appropriate departments.
  • Process outgoing mail by utilizing computerized postage machines.
  • Assist in collating and preparing mail for general mailings.
  • Process FedEx and UPS packages.
  • Provide back-up for the receptionist for breaks and as needed.
  • Ensure BGCA break room and refreshment areas are well stocked on each floor and well maintained.
  • Purchase supplies for BGCA both online and at physical store locations.
  • Prepare purchase orders and invoices.
  • Coordinate facility requests for cleaning, clean-ups, repairs, etc. as needed.
  • Maintain and keep Distribution Center inventory control system updated.
  • Learn the E-Commerce system and pull orders.
  • Perform special projects or assignments as required by Business Operations * Technology Administrator and Director, Business & Facilities Operations.

•             No direct reports. May monitor and coordinate the work of temporary employees and student interns.


  • High school diploma or GED equivalent.
  • Minimum one to two years’ experience in facility operations including shipping & receiving, purchasing and meeting arrangements.
  • Strong interpersonal and verbal communication skills; beginning to intermediate skills with Microsoft Word and Outlook; ability to lead by example; ability to work effectively with internal staff, professionals in the field and outside vendors; demonstrated high standards of ethics and integrity; demonstrated ability to use sound judgment, problem-solving and decision-making skills; ability to display a high degree of initiative and work productively under minimal supervision.  Good organizational skills.
  • High energy level, comfortable performing multifaceted projects in conjunction with day to day activities.  Ability to get along with diverse personalities—tactful, mature, and flexible.  Physical requirements include:  good eyesight and hearing, constant standing, walking, sitting, stooping, grasping/motor dexterity skills and lifting up to 50 lbs. regularly.
  • Normal internal office environment; estimated travel at up to 10% (can be 6 days or more in a given month – including weekends – depending upon scheduling requirements).  The individual selected for this position must possess and maintain a valid driver’s license, and be able to drive in the Atlanta, GA area on behalf of Boys & Girls Clubs of America.
