  • Overview

    Under the supervision of the Chief Development & Public Affairs Officer, the Senior Director, Planning & Administration is responsible for facilitating year-round strategic planning among the Resource Development and Government Relations departments at BGCA and managing executive operations and board-level affairs for the office of the Chief Development & Public Affairs Officer.  The Senior Director, Planning & Administration will work closely with the Chief Development & Public Affairs Officer and the senior leadership team to facilitate year-round strategic planning and reporting to the Board of Governors; organize and facilitate department-wide staff meetings and communications; and execute strategic initiatives as aligned to board development and thought leadership originating from the Chief Development & Public Affairs office. The Senior Director, Planning & Administration should be prepared to represent the perspective of the executive office, and engage with board members or other key external stakeholders when assigned.


    Lead Cross-Departmental Planning:

    Develop and manage a year-round departmental planning process as aligned to organizational planning, Senior Leadership reporting, Board reporting and the work of the planning & operations council. Provide monthly updates and dashboards to reflect progress to date.

    Manage dashboards and monitor project management system as aligned to Planning & Operations Council requests to measure performance and tracking against Levels 1, 2 & 3 projects. Facilitate trainings as needed.

    Represent the perspective of the RD/GR leadership teams in organizational planning meetings.

    In collaboration with Chief Development & Public Affairs Officer, plan RD/GR leadership meetings and retreats; manage and coordinate follow-up to maximize collaboration across teams and drive organizational alignment across RD and GR.

    RD/GR Organizational Communication & Reporting:

    Manage organizational communications and reporting for the RD & GR departments to board members, RD/GR Staff and all-staff, this includes quarterly reporting, departmental presentations, updates to staff, etc.

    Manage the quarterly drafting of the Board and Committee reports, Board presentations, Board talking points and briefings as assigned. Serve as the primary staff lead for planning, preparation, execution and follow-up on the RD & GR Board Committees.

    Manage briefings and preparation for Volunteer Leaders as assigned prior to major events.

    Manage RD/GR all-staff meeting preparation, planning and content development, as well as follow-up surveys and facilitated dialogues to lead into and inform cross-departmental dialogues on key topics as assigned.

    Manage Executive Scheduling Process:

    Manage cross-functional strategic planning to maximize CEO & President and the Chief Development & Public Affairs Officer’s travel schedules to their fullest extent possible to advance donor relations; media relations; Club relations; government relations; board relations, etc. Work closely with the executive assistants of the Chief Development & Public Affairs Officer and the President’s Office.

    Ensure briefings and full preparations are planned before travel; notes are being translated from CEO & President and the Chief Development & Public Affairs Officer’s meetings into database’ action items are being followed up on and there is clear ownership of next steps to facilitate collaboration and follow-through with key external stakeholders.

    Support Board Governance & Prospect Development:



    Strategic Initiatives:

    Serve as a staff lead on BGCA’s National Conference Committee with responsibility for organizing RD/GR leadership on positioning and preparations for engaging the Chief Development & Public Affairs Officer, as well as Board Members. This includes presentation development, briefings, talking points, on-site support and management.

    Support the Youth of the Year and board award dinner planning and coordination across RD and GR as aligned to CEO & President and the Chief Development & Public Affairs Officer’s participation and volunteer engagement; ensure quality and timely planning, briefing and staffing; serve as quality control on content and execution.

    Lead collaboratively across departments on thought leadership activations as assigned, such as the Great Think Series, to advance positioning of the Chief Development & Public Affairs Officer’s agenda as aligned to the Great Futures Campaign.

    Perform other duties as assigned by Chief Development & Public Affairs Officer.

    No direct Reports. May monitor and coordinate the work of temporary employees and student interns


    7 to 10 years of fundraising, relationship and stakeholder management experience.

    Experience in facilitating strategic planning across teams.

    Experience working within a high paced environment and with senior-level executives and board members.

    Attention to detail with a passion for flawless execution.

    Outstanding writing and editing skills.

    Desire to work with tight deadlines in a fast-paced, fluid environment.
