  • Overview

    Under the supervision of the National Vice President, Operations & Collaborative Services, the Resource Development Coordinator (Operations & Collaborative Services) is responsible for executing a variety of project management, coordination and administrative efforts in support of the Resource Development team. As a member of this nationwide team, the Resource Development Coordinator, Operations & Collaborative Services provides efforts that benefit BGCA's five regional offices.

     

    Responsibilities

    • Serve in a project management role for efforts that affect the entire department as assigned by the National Vice President, Operations & Collaborative Services (NVP, O&CS). Overall aim is to ensure projects are delivered on time and within scope and budget. Project management responsibilities include stakeholder scoping sessions, ongoing project plan development, publication and updating of progress reports (GOSIM, Metrics Dashboard), and proactive follow up and engagement. Examples of projects include planning timelines, database project planning, RD team training programs, SharePoint site development and user engagement, prospect pipeline list, milestones chart, and other efforts as assigned.
    • Produce flawless internal communications including weekly all-staff news blasts, agendas, memos, PowerPoint presentations and other documents as required
    • Coordinate and manage Resource Development Calendar for department-wide use
    • Monitor and track contracts with vendors, produce check requests and monitor the status of payments. Serve as primary contact for billing and renewal of all contracts generated from RD Operations & Collaborative Services; produce contracts and maintain accurate records of vendor relations.
    • Provide daily administrative support to the NVP, O&CS and Operations & Collaborative Services team, including:
    • Handling day-to-day operations of the department, including scheduling, answering telephones, responding to routine inquiries, filing.
    • Coordinating meeting arrangements including teleconference calls and onsite meeting logistics.
    • Preparing travel plans and expense reports for team VP.
    • Assisting with  other  projects  as required  by the  National Vice  President, Operations & Collaborative Services
    • Support monthly, department-wide revenue and expense reconciliation.
    • Work with Financial Services and RD staff to determine variances, research and analyze source of variance and produce reconciliation memos for department review.
    • Support NVP in developing RD O&CS operating expense budget (and specific grant budgets, i.e. Deerbrook) and ensuring all RD business unit budgets are submitted accurately and timely to Finance
    • Support with monthly operating expense reconciliation, working with Finance and RD staff to determine variances, research and analyze source of variances, and submit adjustment reports to Finance
    • Support in updating and uploading monthly Forecast reports and Headcount reports, following up with Finance and RD staff
    • Generate, monitor, and track contracts with vendors and Legal
    • Produce check requests and monitor the status of payments. Serve as primary contact for billing and renewal of contracts, and maintain accurate records of vendor relations
    • Serve as a check requester for RD O&CS in Coupa
    • Serve as a back-up for gift processing, such as copying checks and submitting to Finance, database entry, and acknowledgement  letters as needed
    • Review and manage gift receipts on behalf of National Vice President, O&CS
    • Serve as the Webinar Coordinator for RD maintaining credentials to licenses, training team members as needed on setting up webinars/conference  calls, ensuring that webinars are documented on the BGCA calendar, and representing RD at IT Webinar Coordinator meetings
    • Point of contact for Canon copiers, ordering supplies such as paper; toner, etc

    • Provide system for electronic filing of departmental documents; ensure all files are in adherence with document retention policy.
    • Perform special projects or assignments as required by NVP, O&CS.

    Adhere to organizational policies and procedures as described in BGCA’s Employee Handbook and elsewhere.

     

    SUPERVISION EXERCISED

    • No direct Reports. May monitor and coordinate the work of temporary employees and student interns

    Qualifications

    Normal Internal office environment.  Physical requirements include sight, hearing, sitting for more than four hours a day and other physical requirements required performing the essential functions of this position.

     

    Travel – minimal

     

    Ability to carry out simple and detailed instructions; ability to effectively interact with management, co-workers, local Club staff and others; provide excellent internal and external customer service; and ability to perform a variety of duties and to prioritize tasks to meet organizational Physical requirements include ability to sit for six to eight hours a day; sight, hearing and skills essential for successful communications include speaking; ability to bend and stoop; occasionally lift boxes weighing 10-20 lbs., and use manual dexterity skills for filing, answering phones and general office work.
