JOB SUMMARY

Under the direction of the Managing Director, the Specialist is responsible for administrative support, donor communication and  stewardship planning and execution for the Managing Director as well as high-level individual donors. This position will be responsible for writing, editing and creating communications, stewardship reports and presentations for external investors and partners. In addition, this position will coordinate and execute on Individual Giving Team donor journeys through collaboration with fundraisers, playing a key role to ensure individual donors are acknowledged, recognized and stewarded in a timely and meaningful manner, and applying creative donor-centric gratitude strategies to develop long-term relationships

 

Responsibilities

ESSENTIAL FUNCTIONS 

  • Develop, implement and record stewardship activities, coordinating stewardship efforts and collaboration with donor-facing fundraisers to ensure that meaningful communication with donors remains a strong part of the fundraising cycle.  
  • Provide administrative support to the Managing Director, including but not limited to: donor journeys, donor meeting support (research and preparation) and stewardship activities.  
  • Implement annual donor journey strategy to manage, coordinate, and distribute customized stewardship materials. 
  • Proactively create stewardship plans, record and track in CRM.  
  • Execute and provide strategic analysis of stewardship activities and tests ongoing quality improvement.  
  • Contribute to the design, development, planning and implanting of various donor journeys to ensure timely execution. 
  • Coordinate production of stewardship collateral materials to be used Individual Giving team and donor-facing fundraisers. 
  • In coordination with RD Ops, develop a program for collecting, analyzing and disseminating stewardship “best practices”, and methodologies and theories.  
  • Write, edit and create communications, stewardship reports and presentations for external investors and partners, as well as internal at times. 
  • Participate and manage the continued development of Individual Giving donor journeys.  
  • Collaborate with Development colleagues and key stakeholders on mailings and special stewardship projects throughout the year for Major Donors, Annual Fund and Planned Giving, including pulling lists, coordination and production schedule and mailing. 
  • Work directly with the Managing Director, Development on continued department needs, filling gaps where deemed necessary and taking on various special projects in donor stewardship and operations/reporting liaison.

SUPERVISION EXERCISED 

  • No direct Reports. May monitor and coordinate the work of temporary employees and student interns

Qualifications

EDUCATION AND EXPERIENCE

  • Bachelor’s degree or education/experience equivalency preferred.
  • Minimum of two years of experience
  • High level writing and editing skill set, ability to create and produce written reports and documents, as well as edit them.
  • Minimum of two years of project management experience
  • Minimum of two years of administrative experience, proficient with Salesforce or similar CRM software, analytical reasoning, process documentation
  • Fundraising or Development experience preferred

SKILLS

  • Superior interpersonal abilities; strong administrative and organizational skills; a passion for quality customer service and teamwork; detail-oriented; demonstrated high ethical standards and integrity; tactful; flexible; excellent listening and reasoning skills.
  • Knowledge of Salesforce and Microsoft Office

ABILITIES

  • High energy level, comfort level with a fast paced and rapidly changing environment, self-motivated, good reasoning abilities, sound judgment and the ability to work under time pressures, while maintaining a proactive, positive /can do attitude with all individuals.
  • Physical requirements include sight, hearing, sitting for more than six hours a day and other physical requirements required performing the essential functions of this position.

 

ENVIRONMENTAL & WORKING CONDITIONS

  • Normal internal working environment.  
  • Less than 5% travel expected
