For more than 160 years, Boys & Girls Clubs have transformed the lives of young people. Today, we are building something new that matches the scale of that mission: BGC Academy, a next-generation service and talent support model that will equip local organizations and the national movement to reach more youth, deliver deeper impact, and uphold our commitment that no child is ever turned away due to cost.

 

As a key component of our Future Ready strategy, the Academy represents an innovative shift in how Clubs are supported. We are standing up a new service-delivery organization that requires creativity, speed, excellence, and strong operational scaffolding from day one.

 

The Manager, Administration & Strategic Projects will be at the center of this build. In this role, you will be the operational heartbeat of the Academy, turning strategy into action, connecting moving parts, and ensuring the Executive Team can move with clarity and precision. This is the perfect role for someone who is entrepreneurial, highly organized, resourceful, and excited to thrive in a fast-paced start-up environment.

 

We offer a hybrid work schedule, with Tuesdays and Wednesdays in the office and flexibility on other days to support personal and professional balance.

Responsibilities

What You’ll Lead

You will play a critical role in building the Academy’s infrastructure, with responsibilities that include:

Administrative & Operational Leadership

  • Manage core operational processes, contracts, invoices, LOAs, compliance tracking, schedules, file management, and executive support, ensuring accuracy, consistency, and timeliness.
  • Serve as the primary administrative engine behind the Academy’s execution, anticipating needs and keeping systems running smoothly.

Project & Strategic Support

  • Drive project management for high-priority initiatives, tracking milestones, creating executive-level briefs, and ensuring alignment across functions.
  • Prepare high-quality decks, summaries, and deliverables used with the Board of Governors, senior executives, donors, and external partners.
  • Conduct research and environmental scans to ensure the Academy brings cutting-edge, relevant support to local organizations.

Communications, Marketing & Events

  • Draft, edit, and proofread documents, presentations, award letters, and correspondence with precision and professionalism.
  • Partner with Marketing to manage the Academy’s brand presence, including social channels, visuals, templates, and digital content.
  • Oversee virtual events and meetings (registration, facilitation, chat, polls, breakout rooms) and manage post-event evaluations and attendance analytics.
  • Coordinate surveys, dashboards, and reporting using tools like Smartsheet, Alchemer, Power BI, and Excel.

Team Coordination & Relationship Management

  • Serve as a central connector across the Executive Team, supporting alignment, communication, and follow-through.
  • Coordinate travel, prepare itineraries, organize calendars, and maintain confidentiality with impeccable professionalism.

Qualifications

What You Bring

  • 2 - 5 years of experience in administrative support, project coordination, or operations.
  • Experience supporting senior leaders or executive teams.
  • Strong organizational and time management skills.
  • Experience using tools such as Microsoft Office, Smartsheet, Alchemer, Zoom, Canva, Power BI, and social media channels.
  • Exceptional writing, editing, and proofreading skills.
  • Ability to maintain confidentiality and represent the Academy with professionalism.

Within the first year, you will:

  • Help operationalize the Academy’s new business line with creativity and precision.
  • Ensure seamless execution across administrative, project, and communication functions.
  • Keep the team aligned through organized processes, timely follow-up, and strong coordination.
  • Demonstrate adaptability, initiative, and the ability to move quickly and produce high-quality work.

 

Education & Experience

  • Bachelor’s degree in business, human relations, or related field or equivalent experience.
  • Minimum two years of senior administrative support experience; experience in a federated or affiliate-based organization is a plus.
